A Sprecho licence is a seat: one licence covers one person. This article covers where seats are managed, what assigning and unassigning actually change, and how the money follows.
Seats live in the Enterprise console at enterprise.sprecho.ai under Licenses, and in the desktop app under Settings → Team → License Management. Both act on the same seats.
Reading the licence panel

If Available is zero you cannot invite anyone: the invitation is refused with "Not enough licenses". Buy first, then invite.
There is no licence key to type in anywhere. Entitlement is resolved on the server from the account signing in, so a new laptop needs nothing but a sign-in.
Buying seats
- Open the console, go to Licenses, and start a purchase.
- Choose monthly or annual billing.
- Set the quantity — between 1 and 200 seats per purchase.
- Check the quote. It shows the price per seat, VAT, and the total you will be charged now.
- Complete payment. Seats become available immediately; on bank transfer they stay pending until the payment lands.

Assigning and freeing a seat
- Assign attaches a free seat to a member. Accepting an invitation does this automatically, taking the first available seat.
- Unassign returns the seat to the pool. You keep paying for it, the member stays in the team, and they lose the paid features until a seat is assigned again.
- Remove from team frees the seat and ends the membership.
- Reassignment is immediate and unlimited. There is no cooldown and no waiting period.
Unassigning is not the same as cancelling. Unassigning frees a seat you keep paying for so you can reuse it; cancelling reduces the number of seats on the subscription. Sprecho refuses to cancel a seat that is still assigned, so free it first.
Enterprise has no free tier: a member without an assigned seat cannot dictate. Withdrawing a seat keeps the person in the team with the shared dictionary visible, but recording stops.
An administrator does not need a seat
Access to the console is decided by role and plan — owner or admin, on Enterprise — and is never checked against a licence. IT staff, an office manager or a purchasing contact can invite and remove members, manage seats, configure SSO and set device policies without one.
They need a seat only if they dictate themselves. When you size an order, count the people who will actually speak into Sprecho.
One detail to expect: on the first purchase the owner is automatically given the first seat, because most owners also dictate. If that is not the case, unassign it and hand it to someone else — the owner keeps full console access either way.
How changes line up with the billing period
- Adding seats mid-period — new seats join the period you are already paying for and are charged pro rata for the time left in it. The renewal date does not move.
- Upgrading a seat mid-period — prorated and charged straight away.
- Cancelling or downgrading — never refunded mid-period. The change is scheduled for the end of the current period, and the seat keeps working until then.
- People leaving — the seat is available to reassign immediately, and the paid seat count drops at the next billing cycle rather than mid-invoice.
- Discounts — a coupon applied at purchase carries over into renewals for as many periods as it covers.
The quote you see before confirming is produced by the same calculation that charges you, so the two cannot disagree.
When a member loses their seat
Someone whose seat is withdrawn, or who is removed from the team, gets a 5-day grace period in which everything keeps working and they can take out their own subscription. After that the account is limited: past dictations stay readable, new recordings are blocked.
