A Sprecho team gives everyone the same shared dictionary and snippets, lets one person handle billing, and puts retention policy in the hands of the organisation rather than each individual. This article covers creating one and getting people into it.
How do I create a team?
- Open Sprecho and click Team in the sidebar, then Add your team.
- Enter a team name. Sprecho checks it as you type and tells you whether it is available — names are unique across Sprecho, so a common company name may need a suffix.
- Add the email addresses of the colleagues you want to invite. You can add them one at a time with Add another email, or Import CSV/Excel for a longer list. Duplicates are removed automatically.
- Click Send invites & continue, or Skip for now if you would rather invite people later.
- The final step confirms the team is ready. From there you go to Team Settings or straight back to dictating.
Everything on that third step is also available later under Settings → Team, so nothing is locked in by skipping the invitations.
Inviting more people later
Open Settings → Team → Actions → Invite Members and enter the addresses — up to 20 per send. Each invitation goes out by email, is tied to that specific address, and expires after 7 days.
Outside a trial you also need free licences: if there are not enough unassigned seats for the addresses you entered, the invitation is refused. See how Enterprise licences and seats work.
The Invitations tab lists everything still outstanding with its status — Pending, Expired or Cancelled. From there you can:
- Resend an invitation that expired or was never opened.
- Cancel invitation for someone who should not have been invited.
An invitation is bound to the address it was sent to. If a colleague tries to accept it while signed in with a different account, Sprecho shows "Wrong Account" and names the address that was invited. Sign in with that address, or ask for a new invitation for the address they actually use.
What the invited person does
- They open the link in the invitation email. It shows the team name, who invited them and the expiry date.
- They click Join
. - Sprecho confirms with "Welcome to
" and the shared dictionary and snippets start syncing to their app automatically.
If you are still in your trial period when you invite people, everyone who accepts shares the same trial end date rather than starting their own.
An account can belong to only one team at a time. Someone who is already in another team sees "You're already a member of a team" and has to leave that one first.
The three roles
| Role | Can do |
|---|---|
| Owner | Everything an admin can, plus billing and licence purchases, changing anyone's role, the team-wide retention policy, and deleting the team |
| Admin | Invite members, remove members who are not admins, manage the shared dictionary and snippets, read team usage statistics, and on Enterprise configure SSO and device management |
| Member | Dictate, and use the shared dictionary and snippets. Sees only their own dictations |
Two limits apply to all three:
- No role can read another member's transcripts. Owners and admins see usage numbers — dictations, words, time saved — never the text of what anyone said. That is enforced on the server, not merely absent from the interface.
- Only the owner can change roles, and the owner role itself cannot be reassigned from the members list. Change someone between admin and member under Settings → Team → Members → Change role.
Removing someone
Settings → Team → Members → Remove from team. The person loses access to the Enterprise licence and to the shared dictionary; the team itself is unaffected, and the freed seat can be assigned to someone else immediately.
Their account then enters a 5-day grace period in which they keep working and can take out their own subscription. After that the account is blocked for new dictations, though existing content stays readable.
Removing a member does not delete their dictations. Those belong to their personal account. An owner cannot be removed, and an admin cannot remove another admin — the owner has to demote them first.
Leaving or deleting a team
A member who leaves is offered a choice: continue with their own subscription and keep the paid features, or stop, in which case the account is limited — past dictations remain visible but new recordings are blocked until they subscribe.
The owner cannot leave their own team. Transfer the team to someone else first, or delete it under Settings → Team → Actions → Delete Team, which removes the team and every membership permanently.
